Keep ticket numbers, hanging positions and unresolved handbacks in one place. Download the workbook or print the form below.

Six tabs: instructions, a blank 200-row log, synthetic examples, a shift checklist, message templates and a status summary. The Excel workbook has filters and status dropdowns. CSV contains the column headings only.

How to use the downloads
  1. Save a copy in an approved location that only authorised staff can access. Read the Start here tab before entering records.
  2. Keep the Examples tab as a reference. Enter your records in Log, one reference per row, and update each status yourself.
  3. For Google Sheets, import the blank CSV into a new spreadsheet. It has no formatting, dropdowns or summary formulas; add those in your own sheet if needed.
  4. Use the checklist at shift handover. The summary counts only rows 2 to 201; extend the ranges if you add more rows.

The register does not issue private phone tickets, organise a live exit queue or collect payments. Printed tags still need to be paired and checked by staff.

What to check at shift handover

  1. Allocate a different ticket range to each station and check for duplicate numbers.
  2. Match the guest ticket to the hanger tag and record how many pieces were accepted.
  3. Assign a runner and a handback position for the expected exit rush.
  4. For a missing ticket, pause the handback and follow a supervisor-approved identification procedure.
  5. Count remaining items against open tickets before closing the event.

How numbered coat check tags work

Each tag has two halves with the same number. One half hangs with the coat and the other goes to the guest. At collection, the guest shows their half and staff match the number. Print on card if you can, cut along the dashed lines and punch the circle for the hanger.

When paper tickets stop working

Paper stubs get lost, coats look alike and the closing-time queue is where a good night ends badly. A photo of each item and a ticket on the guest’s phone make the hand-back faster.

Would software be worth it for your desk?

Time intake and handback separately during a typical event. Include time resolving ticket exceptions; do not extrapolate a quiet rehearsal to a peak queue. Enter your own figures below; there are no assumed savings. The calculation stays in your browser.

The estimate uses self-serve pricing.

Calculate staff time and compare the annual price

vFound Checkroom: USD 504 per venue, billed annually. Changing currency changes the price and units; it does not convert your inputs.

Fill in all four figures to see the estimate.

Hours = annual records × (current minutes − expected minutes) ÷ 60. Capacity value = hours × hourly staff cost. Time freed is not cash saved unless your actual costs fall. Setup, training and other costs are excluded. A negative result means the assumptions do not cover the subscription.

Measure the same tasks during your 14-day trial before deciding. A valid card is required; the selected products are charged annually after the trial unless you cancel before it ends. See prices and trial terms.

Frequently asked questions

Can I use this in Excel or Google Sheets?+

Download the Excel workbook for six tabs, a blank 200-row log, synthetic examples, status dropdowns and a summary. For Google Sheets, import the blank CSV; it contains headings only, without formatting or formulas. Keep your working file restricted to authorised staff.

Is this tag printer free?+

Yes. Print as many tags as you like, up to 200 at a time. Nothing you type is sent to vFound.

What paper should I use?+

Card stock holds up best on a hanger. Any A4 or Letter paper works for a single night.

What does vFound Checkroom add?+

A photo of each item, a numbered QR ticket on the guest’s phone, a queue guests join before they reach the desk and a list of what was left at closing.

Retire the paper tickets.

vFound Checkroom photographs each item and gives the guest a QR ticket on their phone. Start your 14-day free trial. A valid card is required; cancel before day 14 to avoid the yearly charge.
